Why would I use Calimanjaro?

Our time is our most valuable asset. A good calendar application must realize this and that's why we created Calimanjaro. So what features do we think a good calendar application should have:

  • The most important feature must be to visualize time. That's the main reason for using a calendar application at all. You should be able to visualize almost any time span, from a single day, to several months or years.
  • A calendar application is something you use very often, so it must be fast, beautiful and very easy to use.
  • It should be based on all available standards to make the data sharable and future safe.
  • Information should be sharable with friends, coworkers and others, but it should also be secure and personal. Backups should be created both automatically and on the users' request.
  • You should be able to create a printout of the calendar with the same quality and feeling as in the application.
  • Information is no good if you can't search and filter it. Therefore, a fast, responsive, and simple search feature is a must.
  • Extensive support for time zones and week numbers is a must in any modern calendar.
  • It should be able produce statistical information automatically about any view or selection of events.

With these features and goals in mind we created Calimanjaro and that's probably why you would use it!

The graphical user interface in Calimanjaro is rather unique. Can you give a brief introduction to it?

The GUI explained

The graphical user interface consists of five major components:

  1. The left pane. Here you find all your calendars and the navigation in time. Can be hidden to free up space.
  2. The main calendar consisting of 44 different views. You access the extra views by holding down the left mouse button on the view buttons (Day, Week, Month, Year) at the top. Can also display the events as a list.
  3. The To Do list. Can be hidden to free up space.
  4. The search results list. Will show a list of events and To Dos upon search and on request. Can also be used as a countdown list and to keep track of new or updated events.
  5. The right pane. Shows information about selected events, To Dos, calendars, groups and views. Can be hidden to free up space.

You also have a standard Windows menu at the top of the program and a search field at the bottom.

Using the GUI

Even though the GUI is rather unique, it behaves as a standard application in most cases. You use:

  • the Tab key to move around the different parts of the program,
  • drag-and-drop to reposition the calendars,
  • the Shift-key and mouse to select multiple items,
  • the mouse scroll wheel to scroll in the window beneath it,
  • the arrow keys to move around in the selected view,
  • drag-and-drop to reposition and scale events,
  • right-click menus to reach specific functions fast,
  • and so on.

Don't be afraid of testing the different functions, you have unlimited undo steps!

First Time User

We are a family of four with a single computer. How do we get the best out of Calimanjaro?

One user system

You are a family sharing a single user but you still have separate lifes. You will probably get the best use of Calimanjaro by creating four separate calendars, one for each family member. Give them distinct colors and you will easily spot each person's activities. You will also be able to show all calendars together or only a selection of them.

This is how it could look with four calendars on a single user system.

Multiple user system

Each family member has its own user but you still want to be able to read each others calendars. Since each user's files and settings are secured and separated by Windows you have to use the publish and subscribe functions in Calimanjaro to make this happen. Each user publish his/her calendar in the Shared Documents folder and subscribe to the rest of the family's calendars from the same location.

This is how it could look from Lucinda's point of view in a multi user system. The three calendars she subscribes to are read only.

We are a company with 20 employees. Can you give a scenario on how to use Calimanjaro in our organization?

Analyze your company

The first thing you should do is to analyze your company's information flow. Who needs to read who's calendar? Based on that information you can with Calimanjaro create a highly secure system for exchanging calendar information within your company.

Example of the information flow in a company with 20 employees.

In the above scenario we have four groups which share information internally and externally in different directions. Lucinda, the director can only see her own calendar, all developers can read each other's and the director's calendar, the same is true for the marketers, and the members of the information group can read all calendars.

Create the system

Calimanjaro makes it very easy to create a secure system based on the above scenario:

  1. Create four shared folders on your local network, one for each group above:
    H:\Director
    H:\Developing Group
    H:\Marketing Group
    H:\Information Group
  2. Set the read and write privileges for each folder so they reflect the information flow above.
    For example, the persons in the developing group should be able to read from:
    H:\Director and H:\Developing Group,
    and write to:
    H:\Developing Group.
  3. Each employee can now create his/her calendar, publish it in its group's folder, and subscribe to the calendars they have the permission to read.

I'm an owner of Yagoon Time. How do I update to Calimanjaro?

Calimanjaro is an improved and renamed version of Yagoon Time. Follow these steps to update to Calimanjaro:

  1. In Yagoon Time:

    Choose File > Backup Database to create a backup of your database.
  2. Uninstall Yagoon Time.
  3. Install Calimanjaro.
  4. In Calimanjaro:

    Choose File > Revert to Backup and find your newly created backup and revert to it.

I'm an owner of TimeCalendar. How do I transfer all my data in TimeCalendar to Calimanjaro?

Calimanjaro is a new calendar software with roots in the RScience TimeCalendar project. The two softwares can be installed and in use at the same time. Follow these steps to copy all your data in TimeCalendar to Calimanjaro:

  1. In TimeCalendar:

    Choose File > Layer and select all layers with the left mouse button and the shift key. Click the Export button and save your layers to a single file.
  2. In Calimanjaro:

    Choose File > Import and find your newly exported file and import it. The layers in TimeCalendar will now appear as new calendars in Calimanjaro.

Observe: Since Calimanjaro is following the iCalendar standard, some of the properties of your items exported from TimeCalendar might change during import.

How do I create new calendars, groups, events and To Dos?

As with most functions in Calimanjaro, creating items can be done in several ways. Here follows some of the most straight forward:

Create calendars

  1. Choose File > New Calendar.
  2. Type a name for the calendar and choose a predefined or custom color in the color popup menu.
  3. If you are satisfied with the rest of the settings, click the OK button or the Enter key to create the calendar.
  4. Drag and drop the new calendar to your preferred position or group.

Create groups

  1. Choose File > New Group.
  2. Type a name for the group and click the OK button or the Enter key.
  3. Drag and drop the new group to your preferred position.
  4. Drag and drop calendars into the new group.

Create events

  1. Select a calendar in which you want to add the new event.
  2. Create a time selection by dragging the mouse in one of the calendar views. The start and end time of this selection will be the default time settings for the new event.
  3. Start typing the subject for the event. This will open the Event dialog.
  4. If you are satisfied with the rest of the settings, click the OK button or the Enter key to create the event.

If you don't create a time selection before you start typing the subject, the current date in Calimanjaro will be used to set the default time settings for the new event.

To create a repeating event, select a repeating scheme in the Repeat popup menu in the Event dialog.

Tip: You can create several events at the same time by holding down the Shift key while making the second time selection and so on. Perfect if you want to create several events with the same subject but with different start and end times.

Create To Dos

  1. Select a calendar in which you want to add the new To Do.
  2. Make the "To Do" view active by clicking somewhere in it (or tabbing to it).
  3. Start typing the subject for the To Do. This will open the "To Do" dialog.
  4. If you are satisfied with the rest of the settings, click the OK button or the Enter key to create the To Do.

Tip: If you want to create several To Dos in the same calendar, only step 3 and 4 have to be repeated making this procedure very fast.

I want to create several events at the same time. Is this possible?

Yes, there are actually two ways of doing this. You can either create a repeating event in the Event dialog or you can do it like this:

  1. Select a calendar in which you want to add the new events.
  2. Create a time selection by dragging the mouse in one of the calendar views. The start and end time of this selection will be the default time settings for one of the new events.
  3. Repeat step 2 as many times you want, but hold down the Shift key while doing it. This will create multiple time selections.
  4. Start typing the subject for the events. This will open the Event dialog without the time settings.
  5. If you are satisfied with the rest of the settings for the events, click the OK button or the Enter key to create the events.

This method is perfect if you want to create several events with the same subject but with different start and end times.

What possibilities are where to modify and delete calendars, groups, events and To Dos?

All items

All calendars, groups, events, and To Dos are selectable items. (Events and To Dos can be multiple selected with the Ctrl or Shift key.) All items, except events and To Dos belonging to calendars you subscribe to, can be modified and deleted.

To see what you can do with an item, select it and look in the Edit menu.

You can also right-click an item to bring up a specialized menu for that particular type of item.

Events

A non-repeating event can be relocated by simply dragging it to a new location in one of the calendar views. The same procedure can also be used to change the start and end time, but observe, in the month and year views, this is only true for all-day events.

To Dos

The Completed and Priority properties of a To Do can be modified directly in the To Do view simply by clicking with the mouse.

I'm having trouble understanding time zones. How does Calimanjaro handle them?

About time zones

Time zones have one real purpose, to give all places on earth light on the day and darkness on the night, or more precisely, the sun should reach its highest point above horizon at noon. This is however only true to some degree, political and national boarders play a large role today in how the time zones are defined.

Calimanjaro's implementation of time zones is based on the inofficial Olson database with some additional, more or less, standard names.

How to use time zones in Calimanjaro

The time zone implementation affects two parts of the program, events and the main calendar itself:

  • Events can either belong to a specific time zone or be floating. Floating means that the event will not be affected if the main calendar's time zone changes.

    The time zone popup menu in the Event dialog. "GMT" stands for Greenwich Mean Time and is not affected by daylight saving time.
  • The main calendar's time zone can be set to any place in the world. All events, except the floating ones, will change to match the new time zone. You can also use this menu to see the current time at your custom selected locations - perfect for long distance phone calls.

    Observe: Changing the time zone in Calimanjaro will not affect the system time in Windows.

When to use time zones in Calimanjaro

Two cases:

  • You live in New York and have to phone a business partner in London at noon, local time. You create a new event to start at 12:00 PM in the time zone Europe/London. Calimanjaro will now tell you exactly when to make the call in your local time in New York.
  • You live in Los Angeles and visit your parents in Tokyo. Change the main calendar's time zone to Asia/Tokyo and see when your Los Angeles events occur in Tokyo time. This way you will know when to sms your friend at home about the latest basketball results.

How do the import and export functions work in Calimanjaro?

Calimanjaro supports the iCalendar standard, i.e. files with the extension ".ics". By supporting this standard, Calimanjaro will be able to exchange calendar information seamlessly with softwares like Apple iCal, Google Calendar, and so on.

Import

  1. Choose File > Import and open the file you want to import. You can also double-click any ".ics" file in Windows.
  2. The Import dialog will appear. Choose to add the events and To Dos into an existing calendar or import the calendar as a new.

Calimanjaro also supports import from the old TimeCalendar standard, i.e. files with the extension ".tcl". This is however only to achieve backward compatibility and is not meant to be used in the everyday use.

Export

  • Calendars and groups can be exported to ".ics" files. Just select any of them and choose File > Export. Groups will be exported as a single calendar with the group's name.

How do I publish a calendar? Where can I publish it?

Calimanjaro makes it very easy to publish a calendar, while still delivering a wide range of solutions for many different situations:

  1. Select a calendar you want to publish and choose Share > Publish.
  2. Edit the name and other settings for the publication.
    For example, it might be better to give the publication your name instead of something like "Home" or "Work".
  3. Choose where to publish your calendar. Select among three types:
    • On a shared folder:

      Simply browse and select any shared folder on the local network.
      Fast and secure - the perfect choice for the company network.
    • On a WebDAV server:

      Enter the calendar URL and the login and password to the server.
      WebDAV extends HTTP with authentication. Servers with WebDAV support are available in both free and commercial versions.
    • On a FTP server:

      Enter all your settings for your FTP server and the corresponding HTTP address. Observe, you must publish the calendar in a folder that is reachable through HTTP, otherwise it will not be possible to subscribe to it.
      The FTP protocal is supported on almost all available servers on the Internet today. However it has low security and will not work with a HTTP proxy.
  4. Click the OK button or the Enter key to publish the calendar.

What about security when publishing? Who will be able to read my published calendars?

Since there are three different methods available when publishing, where are three levels of security:

  • High security:
    Publish on a shared folder

    A shared folder gives a very high security. Only trusted people on the local network will have access to the publication. The security is handled by Windows own system based on users' privileges for reading and writing in certain folders. You can study how such a system can be built for a small company in FAQ 4.
  • Medium security:
    Publish on a WebDAV server

    A WebDAV server can, if you want to, demand for authentication when subscribing to a calendar. This will protect your calendars from anyone without the correct login and password. However, the transmission to and from the server is not protected, i.e. it is not encrypted.
  • Low security
    Publish on a FTP server

    When publishing to a FTP server, you must always publish it in a folder available through HTTP. The calendar will therefore by nature be unprotected and available for anyone knowing the correct HTTP address.

Remember, the needed security level is different for all situations. Some calendars should be public, some not, and for the most it doesn't matter.

How do I subscribe to a calendar?

In Calimanjaro you can either subscribe to calendars available on the Internet or on the local network:

  1. Choose Share > Subscribe.
  2. If the calendar is available on the Internet, enter the calendar URL and if needed a login and password. If instead the calendar is available on the local network, simply browse and select it. This will however only work if you have the privileges to read from the folder the calendar is located in.
  3. Edit the rest of the settings for the subscription. Observe, the update frequency can be set as low as every minute. This option is only intended to be used if you subscribe from the local network.
  4. Click the OK button or the Enter key to start the subscription.

Tip: You can also double-click a calendar on the Internet to bring up the Subscribe dialog with the correct URL filled in. But observe, this is only true if the calendar URL starts with "webcal://".

I'm behind a firewall. Will I be able to subscribe and publish through some tunneling proxy?

Background

Calimanjaro is using HTTP to download and FTP and WebDAV to upload information to the Internet. If you are behind a proxy or firewall these services might not be available.

Calimanjaro supports HTTP Proxy for standard proxy connections and SOCKS5 Proxy for connections through firewalls. With a HTTP Proxy you will not be able to have any FTP traffic, i.e. you will not be able to publish calendars through FTP.

The answer

The answer to the question is yes and no. Calimanjaro will not try to tunnel through a firewall intended to keep information from spreading. It will only use secure and legitimate methods like SOCKS5.

As default, Calimanjaro is using the proxy settings in the Windows Internet Properties.

Where

You modify the proxy settings in the Preferences dialog (Edit > Preferences), page Advanced, page Internet.

How do the backup functions work? Can I move the database to a backup disc?

The backup functions

Calimanjaro have both automatic and manual backup functions:

  • Automatic backup function:

    An automtic backup of the entire database is performed on a daily basis and is saved in the same folder as your database in use. A maximum of seven backups will be kept to preserve space.
    You find the automatic backup function in the Preferences dialog (Edit > Preferences), page Advanced, page Database.
  • Manual backup function:

    Whenever you like to save a snapshot of the entire database you can do that with the manual backup function. Simply choose File > Backup Database.

Observe: The backup file is a fully functional database saved in the same format as the database in use.

Use a backup disc

If your company uses a backup disc to create daily backups of all sensitive data, you can change the Calimanjaro's database location to that disc. You do this in the Preferences dialog (Edit > Preferences), page Advanced, page Database.

How does Calimanjaro work in a multiuser environment?

Calimanjaro is a true multiuser application. You can install it centrally and all personal data are saved securely on the users' private accounts.

Whenever a user starts Calimanjaro for the first time, a new private database will be created on his/her account. The default location is:

[drive]:\Documents and Settings\[user]\Application Data\Calimanjaro\

Can I run Calimanjaro from a USB memory?

Yes and you have two options: You can put both the program and the database on the USB memory or only the database. Observe: It does not need to be a USB memory, any removable media will do, even a mp3-player.

  1. Install Calimanjaro on the USB memory or on every computer you which to run the program on. If Calimanjaro is already installed, go to step 2.
  2. In Calimanjaro, choose Edit > Preferences, page Advanced, page Database. Change the database location to the USB memory.
  3. Repeat step 2 on every computer you will run the program on, but choose to use the existing database on the USB memory when asked by Calimanjaro.

Calimanjaro on a USB memory can be the perfect solution for persons with different computers at home and at work.

How do I update to the latest version of Calimanjaro?

You can update to the latest version by simply downloading the latest version from our homepage.

It is totally safe to replace your previous version of Calimanjaro with the new one. Your data and settings will be preserved.

How do I uninstall Calimanjaro?

To completely uninstall Calimanjaro you first have to uninstall the progam files and after that delete each users' personal data files.

  1. Close Calimanjaro with File > Exit or click the red button in the top right corner.
  2. Run the uninstaller in the Calimanjaro's folder to remove the program files. You can also use the Add or Remove Programs in the Windows Control Panel.
  3. Delete each users' personal data files by deleting the following folder on account:
    [drive]:\Documents and Settings\[user]\Application Data\Calimanjaro

How many licenses do I need?

License policy

A single license is enough:

  • for one person using Calimanjaro on several computers* or
  • for several persons using Calimanjaro on a single computer*.

If you combine these you get for instance that 10 licenses are enough:

  • for 10 persons using Calimanjaro on 20 computers* or
  • for 20 persons using Calimanjaro on 10 computers*.

* A thin client running in a client-server architecture also counts as a computer.

TimeCalendar or Yagoon Time license

All current owners of a TimeCalendar or Yagoon Time license are now owners of a license on Calimanjaro.

How do I register?

  1. Buy a license and you will in a few minutes recieve an email with your personal registration code.
  2. In Calimanjaro, choose Help > Register.
  3. Type or paste your registration code and click the OK button or the Enter key to register.
